Terms and Conditions


We hope that our personal service and support throughout the party planning process will ensure that you are able to talk to us about any issues which may arise. We will do our best to guarantee that you have the best celebration possible. In the event of any unforeseen circumstances or changes to your requirements, please do talk to us and we will do our utmost to help manage any problems.


All prices include VAT.


All bookings must be confirmed in writing / e-mail and accompanied by a minimum non-refundable deposit of 25%. Bookings will not be considered finalised until payment has been received. Following written confirmation we will hold the booking for a maximum of ten days pending receipt of the deposit.


Payment in full is required on or before the date of the event. Any additional charges for overtime, breakages etc. will be issued after the event and should be settled within one week of receipt of the invoice.


Final numbers are required 2 weeks prior to the event. Small adjustments may be accommodated at the discretion of Vale House Catering and according to the availability of goods or services.


All quotations are based on a specified number of guests. Any changes in numbers may result in additional costs. A reduction in numbers may lead to a slightly higher cost per person than originally quoted. Please bear in mind that whilst we will do everything we can to keep within the original budget, any changes in numbers or alterations to the menu may impact on costs.


Cancellation fees Up to one month before the event – deposit plus monies equivalent to 35% of the original quotation. 14 days before the event – 50% original quotation. 7 days or less before the event – 75% of the total confirmed price.


Any price increases or problems with availability of any goods or specialised ingredients will be notified immediately in writing and solutions proposed.


We can arrange the hire of items such as crockery, glasses, cutlery and linen on your behalf, for a set fee. All hire charges, cleaning and charges for breakages will be invoiced to you, in most cases directly by the hire company.


For outside events catering, a supply of running portable water is essential along with an adequate power supply. We will need to liaise with your chosen venue to ensure that all facilities meet with our professional standards including our rigorous health and safety standards. If additional equipment or labour is required to perform our job efficiently, we will notify you in writing, including an estimate of additional costs.


Any damages, losses or breakages will be charged to the client.


Staff charges are calculated to include all preparation, service and clean up time. Should the event over run, there may be an additional charge for staff.


The disposal of rubbish and bottles will be deemed to be the responsibility of the venue unless otherwise arranged.


A clearing service, post party, can be arranged as required by the venue and / or the client and will be charged as appropriate to the scale of the job required. If, however, Vale House Catering have been engaged to design and dress the venue, they will be responsible for after party clearing and this will be included in the quoted price.


Vale House Catering will take out public liability insurance.
